Mental health and therapy

Recurring sessions, one clinician each, and a schedule that needs cover.

For mental health and therapy clinics with several clinicians, doing $500,000 or more a year with 2 to 49 users. This page is not for solo clinicians, and not for owners who want clinical advice from us.

Where it sticks

Each clinician carries their own regular slots, so a cancellation or a departure leaves a gap that someone has to cover. We write the steps for that.

  • Operations: Intake steps are not written down, so each clinician does them a little differently.

  • Operations: Regular slots are booked, cancelled and covered by hand, one clinician at a time.

  • Sales: A new inquiry arrives mid-session and waits for a free hand.

  • Marketing: Nobody is sure which posts or requests the profession permits, so nothing goes out.

  • Software: You have no weekly picture of the clinic without reading through names.

What we build

  1. Operations:

We write your intake steps with you: who handles each stage and who covers when they are away. You sign each set before anyone is trained on it.

  2. Operations:

We write the cancellation and cover steps for each clinician, and you sign those too. You stop finding a gap in the grid at the last minute.

  3. Your checklist shows the intake steps and the cover steps signed, and your team trained on both.

  4. Sales:

We write a plan for how inquiries are handled, set in your information map and approved by you in writing. A message never names the service your clinic provides.

  5. Marketing:

We draft posts, and each one waits for the licensed owner's approval. The review feature stays off by default.

  6. Software:

We build a weekly view of totals only, with no names and no session content.

First 30 days

The checklist starts with eight items here, and a plain test for "done" goes with each.

  1. In week one, we need your phone numbers, website, listing profile and accounting tool.

  2. A signed information map that says which tool holds what, with no session or clinical content in the CRM.

  3. Your intake steps, written and signed by you.

  4. The cancellation and cover steps for each clinician, written.

  5. A CRM running by day 10, with inquiry stages that hold no session or clinical content.

  6. Your plan for handling inquiries, approved by you in writing.

  7. The weekly totals view, with no names in it.

  8. Your front desk and clinicians trained on the intake and cover steps.

Tools and rules

Google Calendar carries each clinician's hours, QuickBooks and Xero carry the books, and Google Business Profile carries your listing.

Your practice management software, with its charting, booking and billing, stays in place.

Tool names belong to their owners. Susanoo is not affiliated with them.

State rules apply.

FAQs

Who writes the intake steps?

We write them with you, and you sign them before anything is built around them.

How are regular slots covered when a clinician is away?

The cover steps name who steps in for each clinician, and your team is trained on them.

Do you advise on the clinical work itself?

No. We write the business steps around the work, and the clinical side stays with your clinicians.

Who learns the new steps first?

Everyone who works the front desk or covers a clinician's slots. Each of them has a training line on the checklist.

I am a clinician working alone. Does this plan reach me?

Not yet. This plan suits clinics at $500,000 or more with several clinicians and 2 to 49 users. Your roadmap and free guides are still open to you.

What happens to the information my clients give at intake?

A one-page map you sign decides what goes into which tool, before anything is connected. Session content never goes through anything we build.

Will my clients get reminders?

Only if you want them. Reminders send themselves from your own system, in wording you approve in writing, and they never name the service. Susanoo staff never message your clients.

Can you ask for reviews?

The review feature is off by default for this profession. Whether it is ever turned on is for you and your regulator to decide.

Who sees an inquiry first?

A person on your team. If you approve it, a tool can send your hours, address and a booking link, and anything else waits for staff.
