Our funder decides which system holds our records. Do you replace it?
No. It stays as it is. Your calendar of dates and your task lists sit beside it, and reminders go to your own team.
Who we work with
For directors, executive directors, owners and founders doing $500,000 or more a year with 2 to 49 users.
One account manager and six specialists run your marketing, sales, operations, automation, AI and software, so you can lead the organization instead of chasing it.
A sick call lands before the day has properly started, and you are the one working out who can cover.
Marketing: Families, referrers, funders and donors all reach one website, and each leaves unsure what to do next.
Sales: A family inquiry sits in one inbox, waiting for the one person who knows what to say.
Operations: The roster is rebuilt by phone each time someone is out, and the steps for covering a gap are in your head.
Automation: Staff hours are typed into one tool, then typed again for a funder report, a board pack and an invoice.
AI: Once the meeting ends, nobody is sure who agreed to do what.
Software: Coverage, open inquiries and report dates cannot be seen together without asking around.
The six departments
The problem: Each audience reaches the same website with a different question, and nothing tells them what comes next.
What we do: Your marketing specialist builds a website with a clear first step for families, referrers, funders and donors, and plans posts and guides for you to approve. The monthly progress report names what was published.
You stop: Describing your program three different ways on three different pages.
You can tell: Every page, post and guide that goes live is listed on your checklist.
The problem: Inquiries wait on whoever happens to know the answer.
What we do: We set up your CRM so every inquiry has a stage and a next-step date, and we train your intake lead to run it. Your team handles every inquiry.
You stop: Remembering who was told what.
You can tell: The CRM lists every open inquiry by stage and next-step date.
The problem: Cover for a missed shift runs through you.
What we do: We build one roster view the whole team can open, write the onboarding steps for new staff, set up one calendar of your funder, contract and report dates, and train your team on all three.
You stop: Rebuilding the roster by phone, then explaining the same steps again.
You can tell: The checklist marks each written step as written, trained on and signed off.
The problem: The same hours and totals are typed more than once.
What we do: We move staff hours and program totals between your tools so each is entered once, prepare report drafts for you to check and send yourself, and send reminders about your report dates to your own team. We fix the automations we build when they break.
You stop: Retyping the same hours for a report, a board pack and an invoice.
You can tell: The monthly report shows what ran, and each connection we build has a line on your checklist.
The problem: After a staff meeting, the decisions sit in half-remembered notes.
What we do: AI turns your meeting notes into an action list, with a person checking.
It is for back-office work only.
You stop: Typing up the action list after everyone has left.
You can tell: Each AI task is listed on your checklist beside the person who checked it.
The problem: Spreadsheets cover the gaps, and nothing fits how a funded program runs.
What we do: We build the missing pieces from your build pool, set with you. Two examples are a coverage board and a report pack drawn from your own figures. On the 12-month term, we host and maintain what we build in your first year.
You stop: Keeping up spreadsheets that only one person understands.
You can tell: You see the build plan by day 10, and each piece in it appears on your checklist.
Five items start your checklist, each with its own plain test for "done".
The day-by-day timeline sits under Our guarantees below.
Week one needs access to your phone numbers, website and accounting tool.
The CRM is running by day 10, with a path for family inquiries.
One calendar for every funder, contract and report date you give us, each with an owner and a reminder to your own team.
One roster view the whole team can open, with a gap alerting a named person on your own team.
Your team trained on the CRM, the roster view and the new written steps.
Tools we connect: Google Calendar for rosters and dates, Zoom for calls, QuickBooks and Xero for the books, Stripe and Square for payments, and your Google Business Profile listing and Facebook page.

Is this for you
More referrals or donors on their own do not fix much. The systems behind them do, and your account manager checks the fit with you on the call.

Day 1
Day 10
Day 30
Running means marketing, sales, operations, automation, AI and software are all working through your signed checklist.
Day 90
Everything on your signed checklist gets done. Your checklist is built from your scope. If less than 70% of it is done by day 30, or by the end of any month, you stop paying until it is, and we keep working. Above 70%, we finish the rest at no extra charge.
By day 90, every hat your roadmap hands to us is off your head, including your software running your business on the 12-month term. If one isn't, you stop paying until it is.
Don't click with a specialist? Tell us and we swap them within 5 business days. No charge, no limit, no reason needed.
Your part: the weekly call for the first 90 days, access to your tools in week one, approvals within 3 business days, your content and photos. Days we spend waiting on you don't count against us.
A billing pause covers your monthly fee. It doesn't cover ad spend, phone and text usage, tools in your name, or work quoted separately.
No. It stays as it is. Your calendar of dates and your task lists sit beside it, and reminders go to your own team.

No. Grant writing is not part of what we do. We keep your grant dates and contacts in one place, with reminders to your own team.
