Our admissions runs a year ahead. How do you plan for that?
The cycle is written on one page with its dates in week one, and the CRM stages follow it.
Private schools
For private schools doing $500,000 or more a year with 2 to 49 users.
Families move from enquiry to tour to application to acceptance, and tuition arrives in several payments after a deposit.
Sales: Admissions is one person's spreadsheet, and the stage of each family is only in their head.
Operations: Every step of the admissions cycle has a date, and one person holds all the dates in their head.
Automation: Application and tuition details are retyped from the form into the student system and the billing tool.
Marketing: The open house is the biggest event of the year, and the website, the brochure and the handbook each say something different.
Software: The student information system, the billing tool and the admissions list do not share data.
Sales:
The CRM holds the admissions cycle as stages for each family, from enquiry to tour to application to accepted. We train your admissions head and one more person to run it. The CRM shows each family's stage and its last contact.
Operations:
We write the admissions cycle on one page, with its dates and a named owner and backup for each step. Your checklist shows the page and the owners.
Marketing:
We plan guides for applicants, for you to approve, and keep one version of the school's story for the website and the handbook.
AI:
AI writes a first draft of the family handbook sections and the admissions text from the head of school's notes. A staff member revises each draft and signs off before anything is used.
Software:
On the 12-month term, we build what your tools leave out, starting with a view for the head of school that shows application counts by stage and tuition received against tuition expected, as counts and totals only.
Your checklist begins with five items, each backed by a plain test.
Access in week one: your website, accounting, calendar and phone line.

A CRM running by day 10, its stages following your admissions cycle.
The admissions page read as a first-time family would, with every open question listed.
The first guide for applicants drafted, for the head of school to approve.
Tools we connect: Stripe or Square for tuition payments, QuickBooks or Xero for the books, Google Calendar, Calendly and Zoom for your calendar and calls, and your Google Business Profile listing and Facebook page.
Your student information system and your billing tool stay as they are.

Day 90
Everything on your signed checklist gets done. Your checklist is built from your scope. If less than 70% of it is done by day 30, or by the end of any month, you stop paying until it is, and we keep working. Above 70%, we finish the rest at no extra charge.
By day 90, every hat your roadmap hands to us is off your head, including your software running your business on the 12-month term. If one isn't, you stop paying until it is.
Don't click with a specialist? Tell us and we swap them within 5 business days. No charge, no limit, no reason needed.
Your part: the weekly call for the first 90 days, access to your tools in week one, approvals within 3 business days, your content and photos. Days we spend waiting on you don't count against us.
A billing pause covers your monthly fee. It doesn't cover ad spend, phone and text usage, tools in your name, or work quoted separately.
