Your week at the bays

One account manager and six specialists run your marketing, sales, operations, automation, AI and software, so the work in the bays stays yours while the schedule, the processes and the software behind it get built.

The day goes to other people's cars. The business waits until the last one leaves.

  • Marketing: Some weeks the bays are jammed and some sit idle, and nobody planned for either. Posts go up in a rush, then stop.

  • Sales: An estimate leaves a day late, and work the customer put off sits on a ticket nobody reopens.

  • Operations: You are the schedule: who is on which bay, which part is late and who agreed to the extra work.

  • Automation: The calendar, the shop system and the books each hold part of a job, so the same details get typed more than once.

  • AI: The week's delays live in your memory, so you guess at why Thursday ran behind.

  • Software: The shop system tracks the job but not the customer, and packages and fleet rates live in a spreadsheet only you read.

The six departments

Six departments, built around your bays and your counter.

  • Marketing

The problem: Locals find you only if someone already told them.

What we do: Your marketing specialist plans posts and guides ahead of your busy weeks (for a tire shop, ahead of the changeover) and looks after your website and your Google listing content.

You stop: Writing posts at night and guessing what to say.

You can tell: The live checklist shows each post and guide as it is published, and the monthly progress report shows enquiries by source.

  • Sales

The problem: Estimates leave late, and work a customer put off gets forgotten.

What we do: We build the pipeline that carries an enquiry to a booked bay, write your sales material and train your advisors to close the job. The selling stays with them, and we do not call your leads.

You stop: Keeping the list of open estimates in your head.

You can tell: The Monday view shows estimates sent, accepted and booked.

  • Operations

The problem: The bay schedule and each car's status live in a few heads, and a late part stalls a bay.

What we do: We write the job flow from drop-off to pickup, set up your bay calendar, and write down who orders each part and where the order is logged. Then we train your staff on the step each of them touches.

You stop: Carrying the whole board in your head.

You can tell: The written steps and the bay calendar are on your live checklist, and each person has run an order through them.

  • Automation

The problem: Texts, the calendar, the shop system and the books each hold part of a job.

What we do: We move job and payment details between your tools so each is typed once, and we fix the automations we build when they break.

You stop: Typing the same job into four places.

You can tell: Your checklist names every automation we have built and which tools it joins.

  • AI

The problem: Small waits for a part, a tool or a decision eat bay time, and nobody writes them down.

What we do: Your team adds a line to a shared note whenever a car waits, with no customer names or plates. AI drafts the weekly summary from those lines, and a person checks it before you read it.

You stop: Guessing at why the week ran behind.

You can tell: The checklist names the AI tool in use, and the weekly summary reaches you after a person has read it.

  • Software

The problem: The shop system tracks the job but not the business, and your packages and fleets sit in a spreadsheet.

What we do: We build the missing piece around how you sell and schedule: packages, fleet accounts and an owner view of the week, usable at the desk and on the shop floor. On the 12-month term, it is built, hosted and maintained for you in your first year.

You stop: Keeping fleet rates in a spreadsheet only you understand.

You can tell: Your build plan is on the checklist by day 10, in plain words.

First 30 days

Five items open your checklist, and each one has its own test for "done".

Our guarantees, below, dates day 1, day 10, day 30 and day 90 and says what "running" means.

  1. Access in week one: your shop system, phone line, calendar, accounting tool, Google listing and website.

  2. Your CRM running by day 10, with the stages of a job from enquiry to booked to invoiced.

  3. A bay calendar built around your service types, wait or drop-off, and how long each job takes.

  4. A one-page parts and supplier order process, with your front desk trained on it: who orders, where the order is logged and who owns a part that runs late.

  5. The marketing plan running and a Monday view of enquiries, estimates sent, accepted and booked.

Rules and tools

Software we connect: Google Calendar for your bay calendar, QuickBooks or Xero for your invoices, Stripe or Square for card payments, and Google Business Profile for your listing content.

Your shop management system stays in place. We connect it where it has a connection to offer, and build around it where it has none.

Tool names belong to their owners. Susanoo is not affiliated with them.

Provincial rules apply.

The numbers

Read each figure as a snapshot of one country in one year, not a forecast for your shop.

Is this for you

Is this for you?

A good fit

  • You own a repair shop, a detailing business, a tire shop or the service and parts side of a dealership, and you do $500,000 or more a year with 2 to 49 users.
  • You want a bigger business, and you will do your part: the weekly call for the first 90 days, your tools in week one and approvals within 3 business days.

Not a fit yet

  • A one-bay start-up or a single mobile operator, where the floor is $500,000 a year. We send free guides to anyone below it.
  • Collision and body repair, which are not part of the launch.
  • A dealership's vehicle sales and finance departments. The service lane and the parts counter are covered.
  • You want us to make the sales calls.

Extra enquiries on their own do not fix a shop that loses work after the first visit. Leads come from the systems behind them, and your account manager checks the fit with you on the call.

  1. The Done-For-You Guarantee

Everything on your signed checklist gets done. Your checklist is built from your scope. If less than 70% of it is done by day 30, or by the end of any month, you stop paying until it is, and we keep working. Above 70%, we finish the rest at no extra charge.

  2. The One Less Hat Guarantee

By day 90, every hat your roadmap hands to us is off your head, including your software running your business on the 12-month term. If one isn't, you stop paying until it is.

  3. The Right-Person Guarantee

Don't click with a specialist? Tell us and we swap them within 5 business days. No charge, no limit, no reason needed.

Your part: the weekly call for the first 90 days, access to your tools in week one, approvals within 3 business days, your content and photos. Days we spend waiting on you don't count against us.

A billing pause covers your monthly fee. It doesn't cover ad spend, phone and text usage, tools in your name, or work quoted separately.

FAQs

Peak weeks are brutal for us. Should we wait until they are over?

Choose the start date, the 1st or the 15th, that falls before your heaviest weeks, so the plan is in place when they arrive. A tire shop picks the date around its changeover. Your part is the weekly call for the first 90 days, your tools in week one and approvals within 3 business days.

Will my bays have to change how they run?

No. We write down the flow you already run, from drop-off to pickup, and build around it. Each advisor and technician is trained on the one step they touch.

Our customers want a person at the counter, not a system. What changes for them?

Your customers keep dealing with your advisors and technicians, the same people who do the work now. What we build sits behind them: the bay calendar, the parts process and your weekly view.

Will you replace my shop management system?

No. It stays, and your team keeps its routine.

Will you make the sales calls for us?

No. We build the pipeline and train your advisors, and the selling stays with them.

Do you work with collision or body shops?

Not at launch.
